Recruiting Visit Protocol
Prior to Official Visit
- Please review the University of Utah Athletics Department's Official Visit Policy. Complete the Official Visit: Permission to Host (COMPrec_018) form and submit to the Compliance Office at least five (5) days prior to visit. A transcript and standardized test score (ACT and/or SAT) must be attached. Make travel arrangements (transportation, lodging). Arrange for travel advance with the Business Office. Arrange for admission to Utah athletic events by filling out the Complimentary Admissions (COMPrec_017) form. Request and pick-up purchase orders from the Business Office for applicable meals. (Please see Official Visit Meal Protocol (COMPrec_012) and Instructions for Use of Purchase Orders(COMPrec_015.)
During Official Visit
(Refer to NCAA Bylaw 13.6 for more details on official visits)
- The visit shall not exceed 48 hours (defined in Bylaw 13.6.3). The clock is triggered at the point the prospect arrives on campus, is entertained, or receives a meal with the coaching staff. If a prospect arrives in Salt Lake City prior to the 48-hour period, he/she may be provided transportation directly to an off-campus hotel without beginning the 48-hour clock. However, the prospect must dine alone--no institutional staff member or host may be present for the meal. At the conclusion of the 48-hour period, the prospect cannot be provided with additional entertainment (e.g., meals, activities) and must be returned to his/her home or the airport.
- The prospect may receive three meals per day and take meals as regular students normally do. Payment for meals may only occur in three ways (please see Official Visit Meal Protocol (COMPrec_012)):
- The head or assistant coach takes the prospect out to dinner and the coach pays for the meal.
- The coaching staff, via the Business Office, obtains a Campus or Purchase Order for payment for two individuals at selected local restaurants. Such purchase orders shall be limited to the host and the prospect.
- The host pays for the meal with the entertainment money. No reimbursement will be provided and the meal will be classified as entertainment. The host must provide itemized, dated receipts for the meal.
- A coach must be present at the meal if the meal involves more individuals than the host and prospect. No cash may be given to the host other than the entertainment money ($30 per day). If the host money is used for a meal, no reimbursement will be provided and the meal must be logged as entertainment.
- If dessert is ordered at the end of a meal, at the same restaurant, it may be included with the meal. If dessert is obtained at a different location it must be counted as entertainment and deducted from the $30/day host money. Exception: An after dinner snack or dessert at the coach's residence is excluded from the three meal per day limitation and need not be deducted from the student host money.
- All entertainment expenses for the prospect, host, parents, and coaches (including snacks) must be paid for from the $30 per day host money, except for admission to Utah athletic events (see Bylaw 13.7.5.5.2 for multiple hosts' limitations).
- Entertainment funds may never pay expenses of friends, siblings, or other relatives.
- Entertainment of prospects may only occur within a 30-mile radius of campus.
- Only authorized coaches and University staff and faculty may be involved in the recruitment process.
- NO boosters or alumni may be involved in the visit or make contact with the prospect in any way (including dinners at a home of a booster).
- At the conclusion of the visit, the prospect must read and sign the Prospect Declaration Form (COMPrec_020) to be submitted to the Business Office along with the Travel Reimbursement Report for the visit.
- In all sports except men's basketball, the prospect may engage in physical activities while on campus provided that the activity is not organized or observed by members of the coaching staff and is not designed to test the abilities of the prospect. This includes current student-athletes reporting back to the coaching staff any specifics on the prospect's skill and abilities [Refer to Bylaw 13.12 for specifics on tryouts]. IN THE SPORT OF MEN'S BASKETBALL, PROSPECTS MAY NOT ENGAGE IN ANY PICK-UP BASKETBALL GAMES OR ANY ACTIVITY THAT REQUIRES A BASKETBALL DURING ANY RECRUITING VISIT.
Following the Official Visit
- Coaches must complete the Official Visit Tracking Form (COMPrec_021), the Official Visit Meal and Entertainment Tracking Worksheet (COMPrec_022), as well as submit an Official Visit Itinerary for each prospect. The information provided must include the names of all individuals who accompany a prospect and/or his or her parents to a meal/entertainment activity paid for by the University. Individuals who pay for their own meals/entertainment should be noted as such.
- Coaches must submit completed Prospect Declaration Form (COMPrec_020).
- All forms must be completed and returned to the Business Office along with a completed Travel Reimbursement Report within five business days following the visit.
- A Travel Reimbursement Report, all applicable itemized, dated receipts, any invoices received while using purchase orders and any necessary forms must be submitted to the Business Office five (5) business days after the official visit has ended. Please refer to the Travel section of the Department Handbook for details.
- The Business Office will only reimburse coaches once all applicable compliance forms have been submitted.
- Upon completion of all appropriate paperwork, the Compliance Office may choose to interview coaches and/or student-athletes to clarify issues related to the visit.

Unofficial Visits
- Although documentation is not required for an unofficial visit to occur, each sport should complete an Unofficial Visit Form (COMPrec_024) and submit it to the Compliance Office to retain in case of an NCAA audit.
- No unofficial visits are permissible during dead periods. In addition, no unofficial visits are permitted for nonqualifiers in their first year at a two-year college.
- In the sport of men's basketball, no unofficial visits are permitted during the month of July.
