Equipment
The University of Utah's Athletic Equipment Policy presents the duties and requirements regarding the use, issuance, retrieval and purchase of athletic equipment. The duties of the Equipment Manager are set forth in the policy. In addition, in order to aid the Equipment Manager in ensuring that athletic equipment is being obtained and issued in accordance with NCAA and institutional rules, the Compliance Office has created an Initial Inventory Sheet and Apparel Inventory Sheet to be completed and submitted to the Compliance Office.

Equipment Policy
Equipment and Equipment Manager
The following policies and procedures are applicable to equipment owned by the Department of Athletics.
- Primary responsibility for purchase, storage, maintenance, security and inventory of athletic equipment for the Department of Athletics is vested in the Equipment Manager.
- It will be the responsibility of each head coach to assist the Equipment Manager in carrying out the policies and procedures applicable to athletic equipment.
- The Equipment Manager will report directly to the Associate Director of Athletics for Business and Finance.
- The Equipment Manager must initiate through and all athletic equipment purchase requests.
- Under no circumstances are coaches to initiate purchases directly with vendors regardless of quantity. Unauthorized purchases become the financial responsibility of the individual placing the order.
- A coach desiring equipment for his or her program shall submit a written requisition to the Equipment Manager after the coach has ascertained need for equipment based upon budget, inventor and condition of current equipment. Upon determination that a need exists for purchase of the equipment, the Equipment Manager will forward a requisition for approval by the Athletics Business Office and the Director of Athletics.
- If the requisition is approved and funds are available for expenditure, the Athletics Business Office will request the Equipment Manager to order equipment and issue a purchase order for the equipment. Should funds be unavailable for purchase of equipment, the Athletics Business Office will inform the Equipment Manager, and notify the head coach that the request has been denied.
- All equipment is to be delivered directly to the office of the Equipment Manager. Upon receipt, the Equipment Manager will inventory the order, comparing it with accompanying delivery receipt and actual purchase order (i.e., quantity and quality). After inspection and approval of the order, the Equipment Manager will send the delivery receipt to the Athletic Business Office, and recommend payment or partial payment.
- The Equipment Manager, at the end of each sport's season, will inventory all equipment. All Apparel/Equipment Inventory Information forms must be completed and copies filed with the Athletic Business Office no later than the end of the 10th business day following completion of athletic competition. In the eventuality, the sport has a split season, student-athletes not returning for the Spring season must return their apparel and equipment within 10 business days of finishing the Fall season.
Insurance and Retrieval
- The student-athlete will be held financially responsible for all apparel and equipment assigned to them. In the event of lost, stolen or damaged equipment, it will be the responsibility of the student-athlete to replace the item, or to reimburse the athletic department as deemed appropriate by the Athletic Director or Equipment Manager. If the student-athlete violates the University of Utah or NCAA
- The Head Coach is responsible for the proper application of the apparel and equipment issuance and retrieval process. All apparel and equipment must be accounted for and reported in a timely manner to the Athletic Business Office in conjunction with the Compliance Office. If the Head Coach violates the University of Utah and/or NCAA rules for apparel and equipment issuance and retrieval, said Head Coach may be subject to punishment by athletic department and/or NCAA.
- The retrieval of athletic apparel and equipment from the student-athletes must occur no later than 10 business days following the completion of the athletic competition (End of season, player leaves team, etc.).
Selected NCAA Atheletic Equipment Legislation
- Purchase of Equipment: A student-athlete may retain athletics apparel items (not equipment) at the end of the individual's collegiate participation. Used equipment may be purchased by the student-athlete on the same cost basis as by any other individual interested in purchasing such equipment. A student-athlete's jersey is apparel and not equipment for purposes of NCAA legislation.
- Retention of Shoes: The legislative services staff determined that although shoes are considered equipment under NCAA legislation, a student-athlete is permitted to retain such items if they are no longer reusable at the end of the institution's playing season.
- Student-athlete using institutional athletics apparel during the summer: A student-athlete may use institutional athletics apparel (per the institution's normal issuance and retrieval policy) during a summer vacation period.
- Retention of athletics apparel subsequent to the academic year: In regard to whether a member institution may permit a student-athlete to retain apparel items (e.g., warm-ups or uniform) subsequent to an academic year and prior to the end of the individual's collegiate participation; determined that in order for such items to be provided to the student-athlete, they must not be reusable (e.g., they must have received normal usage through practice and competition) by other team members in subsequent seasons and then subject to the discretion of the institution, may be considered the property of the involved student-athlete;
- Sports blazers on away trips: Only those student-athletes awarded sports blazers for their participation in previous intercollegiate competition be permitted to wear such sports blazers on away trips, inasmuch as entering student-athletes would not have earned the sports blazers as a permissible award.
